2. WHAT DATA DO WE COLLECT ABOUT YOU, FOR WHAT PURPOSE AND ON WHAT GROUND WE PROCESS IT

Our lawful ground for this processing is our communication between clients, talents, employees and/or new talent. Our legitimate interests are in this case to reply to communications sent to us, to keep records and to establish, pursue or defend legal claims.
  • Client Data that includes data relating to any enquiry made for services such as your name, company name, job title, business address and postcode, contact information including email address, phone number or other information relevant to your enquiry. We process this data to enable contact by email or phone relating to the enquiry you have made with us and/or to provide on-going customer service. We may also process this data for accounting purposes. Our lawful ground for this processing is the performance of a contract between you and us and/or taking steps at your request to enter into such a contract.

Talent Data that includes any data we receive from you upon application such as full name/surname, contact details, telephone number, email address, demographic information including address and post code, statistics, work experience and skills, Images and videos, social media links, National Insurance Number, UTR Tax Number. We process this data to understand the areas of work we can put you forward for and in particular, for internal record keeping and/or to contact you by email, WhatsApp, social media or phone in relation to work enquires. Our lawful ground of processing is your personal information will usually be “contractual obligation” e.g. to supply services you have requested, or to fulfil obligations under an employment contract or terms and conditions.


New Talent that includes data about you that you have submitted upon application such as full name/surname, date of birth, demographics information, Images and videos, including social media links to enable us to assess whether you are suitable to be offered a place on the agencies books. We process this data to assess whether you are suitable to be offered representation with the agency. Our lawful ground of processing your personal information will usually be “contractual obligation” e.g. to supply services you have requested, or to fulfil obligations under an employment contract or terms and conditions. This also includes steps taken at your request before entering into a contract.


Employees and Freelancers that includes data relating to your contact details, full name/ surname, date of birth, email address, address, details of your previous work and/or employment as well as any other information to enable ups to fulfil a contract or terms & conditions. We process this data in order to fulfil your employment contract. Our lawful ground of processing is “contractual obligation” e.g. to supply services you have requested, or to fulfil obligations under an employment contract or terms and conditions. This also includes steps taken at your request before entering into a contract.


Sensitive Data


We need to collect the following sensitive data from you (‘’Talent’’) in order for us to promote you and enable us to put you forward for jobs : Sensitive data refers to data that includes details about your race or ethnicity. We may need to collect information about criminal convictions and offences if the work you are being put forward for requires it.


We require your explicit consent for processing sensitive data, so when you submit your details, we will send you a further communication asking for you to confirm your consent to this processing.


Where we are required to collect personal data by law, or under the terms of the contract between us and you do not provide us with that data when requested, we may not be able to perform the contract (for example, to deliver services to you and/or to be put forward to supply a service). If you don’t provide us with the requested data, we may have to cancel the service you have requested/enquired but if we do, we will notify you at the time.


We will only use your personal data for a purpose it was collected for or a reasonably compatible purpose if necessary. 5. DATA SECURITY


We have put in place security measures to prevent your personal data from being accidentally lost, used, altered, disclosed, or accessed without authorisation. We also allow access to your personal data only to those employees and partners who have a business need to know such data. They will only process your personal data on our instructions and they must keep it confidential.


We have procedures in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach if we are legally required to.

Despite all the controls we have put in place to address all the key GDPR principles, there is still always a risk a data breach may happen. In the unlikely event of this, the breach will be notified to all data subjects affected without undue delay. If appropriate, this will also be reported to the ICO within 72 hours of us becoming aware.

For tax purposes the law requires us to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they stop being customers.
